Active loans
Within the navigation path: Circulation navigation section, Checkout and check-in handle one loan at a time at the desk. The screen: Active Loans screen is the other view: every loan currently out, in one place, so you can chase overdues, pull a homeroom’s loans, or send a batch of notices. This page also covers the dashboard’s overdue card.
The Active Loans screen
Section titled “The Active Loans screen”Go to Library level navigation path: Circulation then Active Loans. The table lists every active loan, and each row shows the copy, the patron, and the due date.
Filtering
Section titled “Filtering”Three filters are pinned in the row above the table:
button: Due, button: Homeroom, and button: Grade. button: Due opens on the three due dates the desk asks about most, each with how many loans it holds:
- Due today.
- Due this week — the week runs Sunday through Saturday, so it includes today and any loans that went overdue earlier in the week.
- Overdue — due before today and still out.
For anything else, button: Custom date… builds the condition as a sentence: pick a condition such as On or after or
In the next…, then its value. A condition on a date can take Today, which moves with the calendar, so On or after Today is “everything that isn’t overdue” on whatever day you open it, and so is a bookmark of it, or a saved query. A date… picks a fixed day instead.
button: Filter also offers button: Item type, books or everything else you lend; button: Patron type, the borrower’s type, so Patron type none of Faculty leaves the students’ loans and the in-library-use shelf; and button: Patron, which lists everyone with a loan out and how many they have, so you can see just one patron’s loans; and button: Item, which lists every title with a copy out, so you can see who has one. Typing in either searches the whole roster or catalog, not only what is out, so a patron or title with nothing out shows 0. A Vega count over patrons you mentioned opens here with a button: Patron chip for them, and a count of one title’s loans with an button: Item chip.
Each filter becomes a chip that reads as a sentence, such as Due before today. Chips combine, and button: Clear all removes them all. On a phone the same filters sit behind one button: Filters button.
Each row also carries the patron’s field: homeroom and
field: grade in columns of their own, which you can turn off from the button: Columns dropdown when you don’t need them. The same dropdown turns on field: Checked Out, the day each copy went out, and a column dragged by its handle there moves in the table. Your choices are remembered. Pick a single value or several (the table shows the union), click a chip to switch it to None of and leave those values out, and homeroom also offers menu item: No homeroom for patrons who aren’t in one. Pairing button: Due ▸ Overdue with the field: grade filter answers “which 4th graders are overdue”: the count is the row total, and each row names the patron. The homeroom and grade counts follow the button: Due filter, so with Overdue picked they count overdue loans only.
Exporting
Section titled “Exporting”The toolbar’s button: Download menu downloads the current list as
menu item: Excel or menu item: CSV,
and the active filters are reflected in what you get, so you can export exactly
“this week’s due loans for the third grade” rather than the whole table.
Checkout times are on your school’s clock. In the Excel file the dates are real
dates and days overdue is a number, so the spreadsheet sorts and sums them; the
CSV writes dates as 2026-09-24.
Downloading overdue notices
Section titled “Downloading overdue notices”button: Download ▸ menu item: Notices downloads a PDF with one page per patron, each page lists that patron’s checked-out items and their due dates, suitable for paper slips you hand out or send home where email isn’t the right channel for every family. Like the export, the download reflects the active filters. This is the printed companion to the emailed notices.
Sending notices on demand
Section titled “Sending notices on demand”Automated overdue and due-soon notices run on the library’s notice schedule. When you want to nudge someone now rather than wait for the next scheduled run, send a notice by hand:
- From an Active Loans row. A loan’s actions include row action: Send overdue notice and row action: Send due-soon notice. The notice fans out to the patron’s own email and any guardian addresses, and the send is logged on the loan. The menu item is disabled when the patron has no contact info to send to.
- From the patron record. A button: Send overdue notice button appears beside button: Check out items in the patron’s header whenever they have something overdue, and does the same for every overdue loan they have.
The dashboard overdue card
Section titled “The dashboard overdue card”The library dashboard has an card: Overdue card summarizing what’s overdue across the library. From it you can:
-
Send notices in bulk. button: Send all confirms first, naming how many patrons and items it covers, then sends to every overdue patron with contact info and logs each notice. It reports what it sent, such as message: Sent 12 emails covering 18 loans. and counts any overdue loans it couldn’t send because nobody on file can be emailed about them. If there was nothing to send, nobody to send it to, or the send failed outright, it says so beside the button instead.
button: Send all honors the library’s overdue setting: Frequency, so it won’t re-send to a patron the schedule has already covered. On a Once library, a patron who has had their one overdue notice for a loan is skipped — the confirmation names every overdue patron, but the send skips those already sent one and says so: message: No notices sent. Everyone with an overdue item has already been sent one. To chase one of those patrons anyway, use the per-row row action: Send notice button, which sends regardless of the Frequency setting.
-
Send one patron a notice. Each row has a row action: Send notice button (disabled when that patron has no contact info). A notice that can’t go — the patron has no reachable contact, or the loan is no longer eligible — answers in a band under that row rather than anywhere else on the page.
-
Jump to the detail. The row links are shortcuts: a patron’s name opens their record, a grade opens the Patrons list filtered to that class year, a homeroom name opens it filtered to that homeroom, and an item title opens the copy detail.
